Job Summary
As a Sales Admin and Handover Specialist at Saxton 4x4, you will be pivotal in supporting our dynamic sales team and ensuring an outstanding vehicle handover experience for our customers. You will manage essential administrative tasks, coordinate vehicle deliveries, and provide top-notch customer service from the point of sale through to handover. Your attention to detail, proactive approach, and excellent communication skills will help maintain the high standards our customers expect from the UK’s number one 4x4 dealership.

Key Responsibilities
Sales Administration Support
· Efficient Documentation: Process all sales paperwork promptly, prepare accurate sales contracts, and verify essential documentation.
· Record Management: Maintain up-to-date and precise records of customer details, sales transactions, and vehicle inventory to ensure seamless information flow.
· Scheduling Coordination: Organise the sales team’s calendar and schedule vehicle handover appointments, ensuring optimal resource allocation and timely follow-ups.
· Timely Correspondence: Ensure all sales-related communications are completed accurately and within required deadlines.
Customer Handover Excellence
· Handover Coordination: Oversee the entire vehicle handover process, ensuring vehicles are in impeccable condition and ready for delivery.
· Comprehensive Customer Briefings: Conduct thorough handover appointments by detailing vehicle features, safety functionalities, and available after-sales services, ensuring customers are fully informed.
· Issue Resolution: Proactively address customer queries and concerns during the handover process, guaranteeing a smooth and satisfying transition.
· Documentation Management: Prepare and deliver all necessary documentation—including registration, insurance, and financing details—to facilitate a seamless transfer of ownership.
· Interdepartmental Collaboration: Work closely with service and parts teams to ensure vehicles are properly prepared, reconcile order figures, and manage significant financial transactions such as vehicle taxing and change of ownership (V5 logbook transfers).
Customer Service and Compliance
· Customer Engagement: Provide exceptional, customer-focused service at every stage, from initial contact through to post-handover follow-up, fostering long-term relationships.
· Standards and Reporting: Adhere to company policies and industry regulations, maintain rigorous records of all sales transactions and handovers, and regularly update management with detailed reports.
Required Skills & Qualifications
· Proven experience in a sales administration or customer service role, preferably within the automotive industry.
· Strong understanding of vehicle sales processes and associated documentation.
· Excellent communication and interpersonal skills, with the ability to engage professionally with customers.
· Exceptional organisational skills and a keen eye for detail.
· Proficiency in using office software and managing administrative systems.
· Ability to multitask, prioritise effectively, and thrive in a fast-paced environment.
